The Role

Purchasing & Customer Service Administrator

Are you passionate about horses and equestrian products? Do you have strong administration, purchasing or customer service experience and enjoy working in a busy, varied role?

We are delighted to be supporting a growing pet and equestrian retailer in Durham with the recruitment of a Purchasing & Customer Service Administrator. This is a varied, hands-on role within a small and friendly team, ideal for someone who enjoys a mix of purchasing administration, systems work, supplier coordination and customer support.

The business trades through both a physical store and online channels including Shopify, Amazon and eBay, so this role would suit someone who is organised, adaptable and confident managing a range of tasks across different platforms.

The Role

You will be responsible for supporting the day-to-day purchasing and customer service function, ensuring stock, product information and customer queries are managed accurately and efficiently. This is a busy and varied position where no two days will be the same.

Key responsibilities will include:

  • Creating and submitting purchase orders to suppliers
  • Supporting supplier administration and manual ordering through supplier portals
  • Receiving stock deliveries into the system following goods-in checks
  • Matching supplier invoices against purchase orders
  • Creating new product listings and updating product data
  • Syncing new products through to online sales channels
  • Supporting stock take processes and updating system records
  • Handling customer returns, exchanges and fault queries
  • Responding to customers via phone, email, social media and online platforms
  • Tracking orders and arranging return labels where required
  • Supporting in-store promotions and merchandising administration

The Person


About You

We are looking for someone with strong administration skills and a proactive, organised approach. You may have experience in purchasing, customer service, ecommerce administration, supplier support or general business administration.

You will ideally have:

  • Previous experience in a purchasing, administration or customer service role
  • Has experience working with horse products, equestrian supplies or within an equestrian retail environment
  • Strong attention to detail and good organisational skills
  • Confidence communicating with customers and suppliers
  • The ability to manage multiple tasks at once
  • Good IT skills and confidence using business systems
  • Experience with ERP, EPOS, Shopify, NetSuite, Amazon or eBay would be beneficial, but is not essential
  • A positive, team-focused approach and willingness to support a small business environment
